Block Party Meeting Minutes 

June 8

 

 

In attendance Marti Wheeler, Suellen Hozman, Marina Kotsitis, Jane Warren, Loretta Malvin, Mary Jill and David Freed.

 

1.         The flier created by Jennifer was generally agreed upon.  There were a few edits requested, which Mary Jill will relay to Jennifer.

 

2.         Marti will call Cheryl Rizner to make sure the city council will print our fliers.   We are estimating we will need 1300.  The fliers will be distributed July 9-10.

 

3.         We need to check with John Mertz to see if donations to the organization are tax deductible.

 

4.         Marti has a lead on a port-a-potty.  She will report at the next meeting.

 

5.         We discussed trash pick-up.  We will ask the Organization for money to purchase            

            garbage bags.  We will try to get volunteers to take it home for the weekly trash

            pick-up.

 

6.         Loretta volunteered to work the registration table and pass out nametags, but she can only work until 5:00 pm.  We decided that should be long enough.  Several

            people said they had nametags at home to donate.

 

7.         We have to check with Vince about the progress of the raffle items.  We also have to purchase tickets to sell.

 

8.         We discussed items that will have to be purchased:

                        1.  Raffle tickets

                        2.  Garbage bags

                        3.  Balloons for the water balloon toss

                        4.  Paper cups

                        5.  Ice

 

9.         Suellen sent out an E-mail to local jugglers inviting them to the party.  She has also arranged for 3 fire trucks to be present from 4-7:00 pm. 

 

10.       Suellen hasnŐt heard back from the police dept. yet.  Marti agreed to try some of her contacts.

 

11.       We decided against a DJ.  We discussed trying to find out if anyone in the organization played an instrument and would be willing to play at the party.

 

12.       Mary Jill volunteered to write an announcement for the Allen Neighborhood Newsletter.

 

13.       We will try to get an announcement in the City Pulse.

 

14.       We discussed making sleeves announcing the event to place over the Foster Your Neighborhood signs.

 

14.       We need to find people willing to bring coolers for extra food and drinks.

 

15.       Mary Jill will contact McDonalds to see if they will donate coffee and Kool-aid.

 

16.       The next meeting will be June 22 at 7:00 pm.  Mary Jill will call for a room.
